Compare the workflow, integration needs and long-term responsibility before commissioning a system.
Describe the workflow in enough detail
Write the steps people follow today, the information passed between them and the exceptions that interrupt the process. Include the work done outside existing tools, such as copying details into a spreadsheet.
Separate necessary business rules from habits that could change. Recreating every awkward step in custom software can preserve the problem rather than solve it.
Test a ready-made option against real tasks
Use a small sample of non-sensitive data and complete typical tasks. Check the permissions, exports, reporting and integrations that matter to your team. A product demonstration rarely reveals every operational limitation.

Compare the whole operating cost
Include subscriptions, implementation, training, support, migration and the time spent on workarounds. Do not compare a one-time development estimate with only one month of a subscription. Use a clearly stated planning period.
Treat estimates as scenarios and ask for scoped quotations. Future changes are uncertain, so discuss how costs are approved when requirements evolve.
Plan a reversible first step
A workflow prototype, limited integration or trial can reveal constraints before a larger commitment. Agree on the evaluation criteria and keep a usable export of important information.
